Public participation Sessions of 15 minutes are held prior to the start of each public meeting.  

For Committee Meetings questions may only be raised on items on the agenda.  

For Full Town Council meetings, items which fall within the scope of the Council's activities may be raised by Bideford Residents.  Participants will be asked to read the Bideford Town Council Code of Conduct (or available at the meeting), and to complete a pro-forma stating their name and address and item to be raised.

You are hereby summoned to attend a meeting of the Allotments Committee of the above-named Council to be held in the Council Chamber, Town Hall, Bideford on Wednesday 27 September 2017 at 6.00 pm for the purpose of transacting the following business.

In accordance with The Public Bodies (Admissions to Meetings) Act 1960 members of the public are welcome to attend this Meeting. There is a legal right to film/record/photograph/report public meetings.

1. To Elect a new Chairman.
2. To Elect a Deputy Chairman.
3. To receive apologies and reasons for absence.
4. To receive declarations of interest on items on the agenda and note any requests for dispensation received by the Clerk prior to the meeting.
5. Public participation session of 15 minutes duration on items on the agenda.
6. To approve the Minutes of the Meeting held on 8 May 2017 as a correct record.
7. To consider and resolve upon the date for the inter site challenge and the make-up of the judges.
8. Marland site.
a. Update: (Committee Members from Marland will be in attendance.)
b. To consider and resolve upon improving the perimeter fencing.
9. Handy Cross Site update: (Committee Members from Handy Cross will be in attendance.)
10. Tricks Site.
a. Update.
b. To consider and resolve upon quotations to extend the fencing to the west side boundary / hedgerow.
c. To consider and resolve upon carrying out minor maintenance works on the perimeter wall.
11. Pollyfield Site update.
12. To review and resolve upon the level of rent for 2018/19.
13. To give consideration to the cleaning/maintenance budget for 2018/19 and make a recommendation to Council.

Councillor Inch, with a view to the mid-June 2017 timeline indicated that either he or Councillor Johns would judge alongside the Chairman of the Allotment Committee. It was agreed that at the autumn meeting of the Committee the item would be re-visited with a view to confirming date and potential judges.

14. To consider and resolve upon making a compensation payment to a former Pollyfield Site Tenant for items remaining on the plot following termination of their tenancy agreement.
15. To consider and resolve upon a policy on items left by former tenants on vacation of their plots, either voluntarily or on termination of their agreement.
